Payments, Invoices and VAT
We keep international payments and invoicing clear and straightforward, whether you are purchasing as a business (B2B) or as a private customer (B2C). We will guide you through the purchasing process within the European Union so that you know exactly how your payment and VAT will be handled.
How do payment and invoicing work?
We have divided the process into three simple steps:
1. Pro forma invoice and payment
Once you accept our quotation, we will issue a pro forma invoice containing all the details you need to make your payment. We accept payments by bank transfer and operate on a prepayment basis.
If your order needs to be prepared in advance or is scheduled for delivery at a later date, a 30% deposit is required to confirm the order. The remaining balance is payable approximately one week before the equipment is due to leave our warehouse.
2. Payment confirmation
If you pay your deposit well in advance of delivery, we will provide official confirmation that the payment has been received and allocated to your order. Please note that this is not yet the final accounting document for the purchase.
3. Final VAT invoice
Your final VAT invoice – the official accounting document for your purchase – is issued when your equipment leaves our warehouse and is dispatched to you.
VAT rules for purchases within the EU
- Business purchase (B2B) with a valid EU VAT number
If your company has a valid EU VAT number that can be successfully verified in the VIES system, your order can be invoiced at 0% VAT as an intra-Community supply of goods, provided the applicable conditions are met. VAT is then accounted for in your own country in accordance with local regulations.
- Business purchase without a valid EU VAT number or private purchase (B2C)
If you are purchasing as a private customer or your business does not have a valid EU VAT number, we will charge VAT at the applicable rate for the country to which the equipment is delivered. The standard VAT rate in Finland is currently 25.5%.
- Åland Islands
Please note that the Åland Islands are outside the EU VAT territory. Deliveries to the islands therefore require additional customs and tax formalities.
Currencies and bank transfers
Our quotations, bank details and payments are normally provided in EUR, making it easy to use fast and secure SEPA transfers within Europe.
If you prefer to make your purchase in another currency, we can also accept payments in PLN or USD. Any currency conversion fees charged by your bank are the responsibility of the customer.
You will always find the correct payment details on the official pro forma invoice issued for your order, giving you a clear and secure reference for your transaction.
What information do we need from you?
To process your order efficiently, we will ask you to provide three things:
- Billing details – full company or customer name, address and VAT number, where applicable.
- Full delivery address – if different from the billing address.
- Telephone number and contact details of the person who will be available to receive the equipment from the carrier.
